Payment & Refund Policy

Effective date: June 12, 2026  ·  Issued by Hinotori Consulting Solutions Inc.

1. Overview

This Payment & Refund Policy applies to all program enrollments and purchases made through PREP Institute, operated by Hinotori Consulting Solutions Inc.. By completing a payment, you agree to the terms described in this policy.

PREP Institute acts as a registration coordinator for third-party hosted learning programs. Enrollment fees cover administrative processing, coaching support, and access coordination with the program provider.

2. Accepted Payment Methods

We currently accept the following payment methods:

  • Credit & debit cards — Visa, Mastercard, American Express (processed securely via Stripe)
  • Interac e-Transfer — Instructions provided at checkout
  • Remitly — For international students

All card transactions are encrypted and handled by our payment processor. Prices are quoted in Canadian dollars (CAD) unless otherwise stated.

3. No Credit Card Storage

We do not store credit card information.

PREP Institute does not retain, log, or store any credit card numbers, CVV codes, or full card details on our servers. All card data is tokenised and managed exclusively by Stripe, our PCI-DSS compliant payment processor. Once a transaction is complete, card details are not accessible to Hinotori Consulting Solutions Inc. staff.

For recurring or future payments, you will be asked to re-enter your payment details each time. We do not charge cards automatically or keep cards on file for future use.

4. Refund Eligibility

A refund may be granted under the following conditions:

  • Request submitted within 7 calendar days of the payment date, and
  • The student has not yet accessed the Learning Management System (LMS) — meaning no login has been recorded on the program's third-party platform, and
  • The program has not yet started for cohort-based programs.

Refund requests that meet all three criteria above will be reviewed and processed within the timeframe described in Section 7.

5. Non-Refundable Circumstances

No refund will be issued if any of the following apply:

  • The student has logged into or accessed the LMS for the enrolled program — including trial access, orientation modules, or any platform login activity recorded by the provider.
  • The refund request is submitted more than 7 calendar days after payment.
  • The program is a short-format course, workshop, or event that has already commenced.
  • The enrollment was provided as part of a promotional, discounted, or sponsored arrangement.
  • Payment was made via e-Transfer or Remitly and funds have already been disbursed to the program provider.

Accessing the LMS — even briefly — constitutes acceptance of the program materials and waives the right to a refund. This policy exists because Hinotori Consulting Solutions Inc. incurs administrative and coordination costs upon LMS access provisioning.

6. How to Request a Refund

To request a refund, email us at prepadmin@hinotori.ca with:

  • Your full name and registered email address
  • The name of the program you enrolled in
  • Your payment date and transaction reference (if available)
  • The reason for your refund request

Our team will verify your eligibility based on the criteria in Section 4 and confirm whether LMS access has been recorded. You will receive a response within 3 business days.

7. Processing Time

Approved refunds are processed within 5–10 business days. The time for funds to appear in your account depends on your financial institution:

  • Credit/debit card — 5–10 business days after approval
  • Interac e-Transfer — 3–5 business days after approval

Hinotori Consulting Solutions Inc. is not responsible for delays caused by financial institutions or third-party payment processors.

8. Disputes & Chargebacks

We encourage all students to contact us directly at prepadmin@hinotori.ca before initiating a chargeback with their bank or card issuer. Most issues can be resolved quickly through direct communication.

If a chargeback is filed without prior contact, or in cases where LMS access has been confirmed, Hinotori Consulting Solutions Inc. reserves the right to dispute the chargeback and provide access logs and transaction records to the card network.

Fraudulent or bad-faith chargebacks may result in suspension of the student's account and restriction from future enrollments.
